For each booking, we will identify whether we operate the tour directly or arrange services through independent suppliers.

2. Booking Requests and Confirmation

Submitting an enquiry or booking request does not confirm availability or reserve your tour.

Your booking is confirmed when you receive a confirmation email or WhatsApp message with a booking reference, and a receipt after you have made the required payment.

Please check the traveller names, dates, group size and itinerary shown in your confirmation and notify us promptly of any errors.

3. Prices and Payments

Prices are quoted in NAD and are calculated according to the total number of people specified in the booking.

Quotations remain valid for 7 days.

  • The full amount must be paid before the booking can be completed.

  • The balance is due 24 hours before departure.

  • Accepted payment methods: via Visa and MasterCard, or by bank transfer into the Mountain View Tours bank account. See DPO PayGate Terms and Conditions.

  • Taxes and compulsory charges: A VAT of 15% is included in the fixed displayed amounts.

  • Late payment procedure: If a person is unable to successfully pay before the payment period expires, the booking reservation will be forfeited, and another booking form will need to be resubmitted.

Prices based on group size may require a revised quotation if the number of travellers changes. Any revised price will be communicated for acceptance.

4. Inclusions and Exclusions

Your quotation and confirmed itinerary specify the accommodation, transport, meals, entrance fees, guiding and activities included in your booking. Items not listed as included are not the responsibility of the company. Please ask us to clarify any uncertainty before paying.

5. Changes Requested by Travellers

Send requests to change dates, traveller numbers or other arrangements to mountainviewtoursandsafari@gmail.com. Changes are subject to availability. We will explain any revised prices, supplier charges or administration fees before you accept the change.

6. Traveller Cancellations and Refunds

Cancellation requests must be submitted to mountainviewtoursandsafari@gmail.com. Further instructions will be communicated after acknowledgement of the request. The applicable cancellation date is 24 hours before departure.

7. Changes or Cancellations by Us

Weather, road closures, park restrictions, supplier availability or other disruptions may affect the itinerary. We will communicate significant changes promptly and explain the available alternatives and any price differences.

If we cancel your tour or make a significant change to your confirmed itinerary that you do not accept, you may cancel the affected booking and receive a full refund of all payments made to us for that booking. Refunds will be processed in accordance with our refund procedure.

For events beyond our reasonable control, including severe weather, natural disasters, border closures or government restrictions, we will notify you promptly and make reasonable efforts to arrange suitable alternatives or reschedule affected services.

If cancellation is necessary, we will refund payments for services not provided, less any documented, non-recoverable supplier costs that may lawfully be deducted. We will seek refunds from suppliers for unused services and pass on any amounts recovered.

Any additional costs for alternative arrangements will be explained and agreed with you before those arrangements are confirmed. Nothing in this clause limits your rights under applicable law.

8. Travel Documents and Traveller Requirements

Travellers must obtain the documents required for their itinerary, including passports, visas and documents for children where applicable. Please tell us about accessibility needs, dietary requirements or health considerations relevant to participation before booking so we can discuss suitable arrangements.

9. Travel Insurance

We strongly recommend that all travellers obtain comprehensive travel insurance when confirming their booking. Your policy should cover trip cancellation or interruption, medical treatment, emergency evacuation and repatriation, as well as loss or damage to personal belongings.

Please check that your cover applies to every country on your itinerary and any planned activities, including safaris and adventure excursions. Review the policy’s exclusions and disclose any relevant pre-existing medical conditions to your insurer. Travel insurance is not included in the tour price unless expressly stated in your quotation.

10. Safety and Conduct

  • Travellers must follow reasonable safety instructions and respect local communities, wildlife and park rules.

  • Wildlife sightings and particular weather conditions cannot be guaranteed.

  • Travellers must follow reasonable safety instructions and behave respectfully towards fellow travellers, staff, local communities and wildlife.

  • Where behaviour is unsafe or seriously disruptive, we will explain the concern and, where appropriate, give the traveller an opportunity to correct it.

  • We may immediately suspend participation or remove a traveller from the tour where necessary to protect their safety or the safety of others. We will provide reasonable assistance with safe onward arrangements. Additional transport, accommodation or other reasonable costs arising from removal due to the traveller’s misconduct will be the traveller’s responsibility.

  • Any refund for unused services will be assessed individually, taking account of services already provided and documented, and non-recoverable costs, subject to applicable law.

11. Third-Party Services and Self-Drive Rentals

Where independent accommodation, activity or vehicle providers are used, their applicable conditions will be supplied before booking.

For self-drive arrangements, the rental agreement will specify driver eligibility, insurance excess, deposits, permitted routes, fuel responsibilities and cross-border permissions.

12. Responsibility and Liability

We will exercise reasonable care in arranging and delivering your tour. We are responsible for loss or damage caused by our negligence or breach of contract, as required by applicable law. Nothing in these terms excludes rights or liabilities that cannot lawfully be excluded.

13. Complaints

Please report problems promptly to your guide or customer service so we can try to resolve them during your trip.

Written complaints may be sent to mountainviewtoursandsafari@gmail.com or +264 81 892 7206. We aim to acknowledge them within 1 working day and respond within 2 working days.

14. Privacy and Website Content

Please see our Privacy Policy for information about how we collect, use and share booking information.

Website photographs illustrate destinations and experiences. Specific accommodation, vehicles and services are those identified in your confirmed booking.

15. Applicable Law and Updates

These terms are governed by the laws of the Republic of Namibia, without limiting any mandatory rights available to travellers under applicable law.

The version accepted when your booking was made applies to that booking. Later website updates do not automatically change an existing agreement.
